ASSIGN PROJECT LEAD AND IDENTIFY AGENCY EXECUTIVE

Project Lead oversees all aspects of Genasys implementation. Agency Executive holds the Project Lead and review teams accountable.

RECRUIT AND ASSIGN MULTI-AGENCY TEAMS (teams should include Fire, Law, and OES)

VERIFY LEAD AGENCIES, SEALS & BADGES (or send to Genasys if needed)

Note: These are the agencies that will be listed in the following drop-down menus:

·      Jurisdictional Responsibilities (fire and law)

·      Lead Incorporated City (Evac Details>Zone ID)

Review drop-downs in EVAC. Any changes needed can be submitted to your Customer Success Manager.

REVIEW AND APPROVE PRELIMINARY ZONES WITH TEAMS (CORE elements: Zone ID, zone geometry/shape, Zone Boundaries field {automated, review for accuracy}, Commonly Known As field)

 

All the core elements are visible to community members by default once your zones are published to the Genasys Protect community site.

See Zone Tracking sheet (Smartsheet) – if applicable.

 

In EVAC: Update Zone Approval Status to “Approved.”

 

NOTE: Now is a good time to schedule initial planning meeting with the Genasys Outreach Manager.

ADD AGENCY AND COMMUNITY LINKS

 

Zone links are the links to any information that is required to conduct an evacuation, such as agency websites, phone lists, CERT program details, etc. You can add up to four QR Code links with brief descriptions.

Links can be made community visible or kept internal.

EMAIL NOTIFICATION LIST

 

Create your notification distribution lists; these are the individuals you want to be notified any time a zone status is changed or zone geometry is changed (i.e. split/merge).

Send Genasys Customer Success Manager the group email address.

PUBLISH COMMUNITY FACING ZONES ON GENASYS PROTECT

 

Once steps 3-5 are complete the zones are ready to be published to Genasys Protect.

Note: Only Editors & Administrators can perform this action.

 

In EVAC: Update Zone Approval Status to “Published.”

 

NOTE: Now is good time to request your WEA and non-WEA shapefiles for your alert and warning system. You can also request ZMS access if needed for WMS, KML, and other zone mapping data.

SCHEDULE TRAIN-THE-TRAINER TRAINING

Identify the agency trainers that will provide ongoing training to your users.

LAUNCH OUTREACH CAMPAIGN

 

Genasys has resources to help with community outreach, and we’re happy to help you. It’s also imperative to confirm all your outreach efforts include the correct link to the Genasys Protect community site: protect.genasys.com.

ADDITIONAL PRE-PLAN ITEMS
(not required prior to publishing zones)

Determine which, if any, of the following pre-plan elements are important for your operations. There are training videos and articles in the help center for how to add each of these elements. Some best practices include an “assign and conquer” approach – you can add as many EVAC Editors as needed to assign the various pre-plan items to agency partners that have/know this information and then remove them or change their EVAC permissions after data entry is completed.

 

PRE-PLAN BOOK COMPONENTS

 

ADD POTENTIAL ARRIVAL POINTS 

Arrival Points refer to a variety of locations where evacuees can be sent. May include transfer points and reception processing sites, welcome centers and information points, shelters, and other congregate facilities.

Arrival Points are generally considered “Safe” areas when reached. 

 

ADD CRITICAL EVACUATION FACILITIES

Critical Evacuation Facilities (CEFs) are specific institutions or locations with concentrated numbers of people that might need additional time or assistance during an evacuation (hospitals, schools, etc.).

 

ADD POTENTIAL TRAFFIC CONTROL POINTS

Traffic Control Points (TCPs) are set up at critical points along an evacuation route to control the movement of vehicles and personnel. 

TCPs can also include Road Closures that can be made community visible. Note: only Road Closures can be community visible, Traffic Control Points are internal to EVAC only.

 

ADD ROUTES 

These are text only routes that can be added and displayed in the pre-plan pdfs (not for community use).

 

PUBLISH PRE-PLAN ZONE BOOKS

It is advised to print booklets of the pre-plan for the team to keep in their trucks, and for running training and drills.

 

MAKE THE PRE-PLAN ACCESSIBLE TO TEAMS

The pre-plan can be easily downloaded or shared with team members via a QR code. The same can be accessed online and offline through EVAC.

 

SUMMARIZE POTENTIAL EVACUATION RESOURCE NEEDS

Resources represent additional officers (sworn or non-sworn) that should be part of a standing request for resources, in order to support evacuation verification (house to house) and ensure the security of a given zone.

These can also be businesses, social service agencies, recreation areas and other places that provide essential services.
